December 2024: Microsoft Dynamics, employee scheduling, and more

This month's release includes a new integration with Microsoft Dynamics, Vista integration updates, and some significant improvements in employee assignment and scheduling. We've also introduced per diem recalculation for all the employees at once, an option for early holiday approval, and have made it possible for PMs to create employees. Several other important updates have also been made, so continue reading to learn more.

Bill rates for pay class

We’ve introduced a new functionality for adding bill rates to pay classes. The purpose is to let our customers allocate labor costs to specific roles and job sites and thus improve financial accuracy.

Pay classes are now available for all job sites including non-certified job sites. When creating or editing pay classes, you can specify REG, OT, and DT rates, as shown in the following screenshot.

Note that these new rates don’t affect your payroll in any way and are only reflected through reporting. For more details on reporting, continue to the next release item.

Assignment and schedule

We’ve made updates to the logic of scheduling and assigning to a job site. Now, employees can be assigned to and scheduled at job sites independently, which has been reflected in the employee profile with separate sections for assigned and scheduled job sites. The following screenshot illustrates that.

The same distinction has been made in the employee card.

Nevertheless, employees scheduled from the Scheduling section of Workforce are automatically assigned to the scheduled job site, and schedule settings are inherited from the employee assignment settings in Job Sites > Employees. In contrast, job site assignments made from the Employees section of job sites do not create schedules.

Lastly, the Staff View section of the Workforce module and all workforce reports are now based on scheduled employee data only.

Vista integration

We've made some updates to our Vista integration. You can now sync certifications and assignments. Also, you can map HR position codes to job titles and departments to departments in MobiClocks.

Per diem recalculation

You can now recalculate per diem allowances for your whole MobiClocks environment directly from the payroll dashboard. This will update all the latest calculations for all the employees. The functionality becomes available if the corresponding permission is enabled for your role.

Create employees option for PMs

The Create Employee permission is now available to PMs and derived roles. If the permissions is enabled, a PM will be able to create new employees, assign them to a company, as well as see employees without an assigned job site.

Early holiday payroll approval

You can now do an early approval of holiday payroll. Select a payroll week for early approval in Administration and access the payroll calendar for the current week during the last 3 days of the payroll.

Bring from previous week

We’ve improved the Bring from previous week functionality for timelogs by adding a number of restrictions. Now, you may not copy a timelog from the previous week if it’s empty, employee pay group has changed in the current week, payroll has been approved for the current week and so on. Several other validations have been added as well.
