Phone number status

Check the status of the recipient phone numbers.

The Phone numbers status tab in the SMS module lets you view and verify the validity of phone numbers associated with your employees, users, and external contacts. Use this tab to identify which phone numbers are active and reachable for SMS communication.

Overview

The Phone numbers status tab is divided into two views, which you can switch between using the toggle buttons at the top of the tab:

  • Employee/Users: Displays phone numbers associated with employees and users in your MobiClocks environment.
  • External Contacts: Displays phone numbers associated with external contacts.

Employee/Users view

The Employee/Users view presents a list of employees and users along with their registered phone numbers and validation statuses. The list includes the following columns:

  • Owner: The name and ID of the employee or user.
  • Role.:The role assigned to the employee or user in MobiClocks.
  • Phone number: The phone number registered for the employee or user.
  • Status: The current validation status of the phone number. The following values are possible:
    • Valid: The phone number has been validated and is ready to receive SMS messages.
    • Not Valid: The phone number is invalid and cannot receive SMS messages. Messages to invalid numbers are automatically blocked with no delivery attempt made.
    • Opted Out: The contact has opted out of receiving SMS communications and cannot receive messages until they opt back in.
    • Suspended: The contact's SMS capability has been suspended and they cannot receive messages until the suspension is lifted.
    • Not Opted Out: The contact has not opted out and is eligible to receive SMS communications.

NOTE

A phone number may receive operational SMS messages only if it is Valid, Not Opted Out, and not Suspended.

  • Consent state: Indicates whether the employee or user has been sent a consent invitation and their response status. Values include:
    • Not sent: A consent invitation has not been sent to this phone number.
    • Pending: A consent invitation has been sent but the recipient has not yet responded.
    • Consented: The recipient has replied Yes to the consent invitation and is opted in to receive SMS messages.
  • History: Provides access to the status history of the phone number.
  • Actions: Contains actions available for the record, such as Suspend and Unsuspend. See SMS suspension to learn more.

External Contacts view

The External Contacts view presents a list of external contacts along with their registered phone numbers and validation statuses. The list includes the following columns:

  • Phone number: The phone number registered for the external contact.
  • Contact name / Job site: The name of the external contact and the associated job site.
  • Status: The current validation status of the phone number. The following values are possible:
    • Valid: The phone number has been validated and is ready to receive SMS messages.
    • Not Valid: The phone number is invalid and cannot receive SMS messages. Messages to invalid numbers are automatically blocked with no delivery attempt made.
    • Opted Out: The contact has opted out of receiving SMS communications and cannot receive messages until they opt back in.
    • Suspended: The contact's SMS capability has been suspended and they cannot receive messages until the suspension is lifted.
    • Not Opted Out: The contact has not opted out and is eligible to receive SMS communications.

Obtain contact consent

Before sending recurring SMS messages to contacts, you must obtain their explicit consent. The Phone numbers status tab provides a consent invitation workflow that allows you to request opt-in from employees, users, and external contacts who have not yet provided consent. A phone number may receive operational SMS messages only if it is Valid, Not Opted Out, and not Suspended.

Send consent invites

To send consent invites to contacts:

  1. Navigate to the Phone numbers status tab.
  2. Select Send consent invites at the top right of the page. The number in parentheses indicates how many contacts are eligible to receive invites.
  3. In the dialog that opens, review the list of eligible contacts across the Employees, Users, and External contacts tabs.
  4. Send invites using one of the following methods:
    • Individual invites: Select Send invite from the Actions column for specific contacts.
    • Bulk invites: Use the bulk selection checkbox to select multiple contacts, then send invites to all selected contacts at once.

The consent invitation is sent immediately via SMS, and the status of the contact row is changed to Pending.

PERMISSIONS

You may send consent invites if you have the Send consent request permission enabled for your role in Administration > Role Permissions > SMS and Messaging.

NOTE

Each phone number can only receive one consent invitation per MobiClocks environment. Consent invites cannot be sent to phone numbers that are already opted in, opted out, or suspended. After an invite is sent, the contact is automatically removed from the invitation dialog.

Consent responses

When a contact receives a consent invitation:

  • If they reply Yes to the consent message, they are marked as opted in and can receive recurring SMS messages.
  • If they reply Help, the response is handled by the system according to standard SMS compliance protocols.

The contact's Consent state is updated in the Phone numbers status table to reflect their response status.

SMS suspension

If spam-like behavior is detected in your MobiClocks environment, SMS sending functionality may be suspended at the environment level. When SMS is suspended, a banner appears at the top of the SMS module indicating the suspension status.

During the suspension period, you cannot send any SMS messages through MobiClocks. Contact MobiClocks support to resolve the suspension and restore SMS sending capabilities.

SMS Contact Health report

Select the report icon in the upper right corner of the page to download the SMS Contact Health report. The report is available in the following format and date range:

  • Available formats: XLSX
  • Date range: Current state (no date selection)

The SMS Contact Health report provides a snapshot of contact phone number readiness and compliance status across your MobiClocks environment. The report displays all contacts (both employees and external contacts) along with their phone number validity, opt-out status, and suspension flags. Use this report to maintain clean contact data, verify phone number compliance, and ensure your contact list is ready for SMS campaigns.

The report includes the following fields:

  • Contact: Combined display of the contact ID and name.
  • Type: The contact type: Employee, User, or External
  • Company: The company associated with the contact. For employees, this is their assigned company. For external contacts, this is the company relationship if applicable, which is not the same as the MobiClocks company. This field may be blank for back-end roles.
  • Phone. The contact's phone number displayed in masked format for security and privacy compliance.
  • Valid #. Indicates whether the phone number has been validated. Values are Yes or No. Invalid numbers may result in failed message delivery.
  • Opted Out. Indicates whether the contact has opted out of receiving SMS messages. Values are Yes or No. Contacts who have opted out cannot receive SMS communications and must be excluded from message campaigns.
  • Suspended. Indicates whether the contact's SMS capability has been suspended. Values are Yes or No. Suspended contacts cannot receive SMS messages until the suspension is lifted.
  • Last Updated. The date when the contact's phone number information was last modified or validated.
